Data and privacy
Set your privacy policy, distinguish follow-up consent from tracking and handle data requests.
Your workspace's privacy settings
Open the workspace menu → Workspace Settings → Overview → Privacy. Set Data controller name and Your privacy policy URL. These are your business's details, not Calberry's privacy policy.
New booking links need this URL before publication. Already published links without a URL remain online, and the dashboard asks you to add one. Your notices need to cover how you use bookings, reminders and connected tools.
Capture, follow-up and tracking are separate
- With abandoned-form capture on, the form can save details during typing after a contact field is filled. The form informs visitors about this.
- Follow-up to someone who did not book requires the stored voluntary consent. The checkbox must remain optional and unchecked. A captured contact alone is not permission to send follow-up.
- Calendar-first and headless modes do not capture abandoned forms. In headless mode the API still requires the follow-up flag, but stores it as false.
- Tracking has its own consent. The follow-up checkbox does not enable analytics. See Tracking events and consent.
Appointment reminders and confirmations are handled separately from abandoned-lead follow-up. WhatsApp is currently coming soon; its setup instructions will be provided when available.
Storage and connected tools
Calberry stores lead and booking data in the EU. Host account identity is handled by Clerk and may be processed outside the EU. Copies you deliberately send to Google Calendar, a CRM or another webhook destination are stored wherever those tools store them and may leave the EU.
When you choose an integration, consider the destination, the fields being sent and who has access there. Webhook payloads can contain contact details and answers.
Access and deletion requests
You handle requests from your contacts as the data controller. Contact Calberry support for workspace data export or erasure requests. Do not mistake Delete in Contacts for erasure: it hides the contact from that list while retaining the underlying leads and bookings.
Legal document links — placeholders
These links are pending and are not published legal documents.
- Calberry privacy policy: PLACEHOLDER — approved URL pending.
- Data processing agreement (DPA): PLACEHOLDER — approved URL pending.
- Subprocessor list: PLACEHOLDER — approved URL pending.
The placeholders above do not replace your own working privacy policy URL, which you must enter before publishing a new booking link.
