Reminders and sequences

Understand calendar invitations, email sequences and personal host notifications.

Three kinds of messages

Calendar invitation: After a booking, Google sends the invitation from the host's calendar. It contains the meeting information and, when configured, Google Meet. A sequence email is not a replacement calendar invitation and does not add a separate ICS invitation.

Sequences: In Sequences → My Sequences, manage reusable email workflows. A workspace starts with a 24-hour email reminder. In the booking link's Communication settings, use that default or select published sequences. Several sequences can be assigned to one link. WhatsApp is coming soon.

Host notifications: Personal system emails cover new bookings, reschedules, cancellations, expiry and calendar-sync errors. Under Profile Settings → Notifications, choose whether to receive them. The preference applies across your workspaces and is independent of the sequences assigned to a link.

Change a sequence carefully

Sequences have drafts and published versions. Saving a draft alone does not publish it. When publishing, review the option to apply the new version to already booked future appointments and the affected count. Without that choice, existing runs keep their previous version.

The builder supports a trigger, waiting, email steps and the booking-confirmed branch. Email steps can address the guest, host or specified email addresses. Edit the subject and message in German and English. Cancelling or expiring a booking stops its open runs; confirmation alone does not end them.

Check delivery

Open the booking's delivery history or Sequences → Logs. Look at status and reason rather than assuming that a planned message was sent. A provider accepting a message is not the same as confirmed delivery. Message content is visible only to owners/admins, with links redacted.

Recipients can unsubscribe from the workspace's sequence emails. That does not cancel the appointment or suppress its Google invitation and expiry notice. If a message was skipped, inspect the reason before attempting a resend.
